After you create a project role, you can begin recruiting matching personnel to mobilise to that project.
This article looks at how the stages of the recruitment pipeline are set up in MyPass. Next you’ll create a Role Tracking Template to manage the progress of your workers through your recruitment pipeline.

Matches
Matches are personnel profiles that match the required skills for the role. As soon as you post a role with necessary details, MyPass automatically identifies matching profiles and shows them in this tab.
For each worker, you can view their calendar availability during the project dates, their location, and whether they have the required skills for the role.
Personnel are listed from highest compliance match to lowest. The percentage displays how well the worker meets the mandatory requirements. Click on the percentage button to view details about the worker’s mandatory and desired qualifications.
The tick icon indicates that the certificate has been uploaded to the personnel profile.
A green tick: the certificate is current and verified by MyPass.
An orange tick icon: the certificate will be expiring soon.
A red tick icon: the certificate is expired.
A red x: no requirement is uploaded OR it is not verified by MyPass
Managing the matches results
To change what you see in the matches results, you can adjust some settings.
The Filter Icon
Click the filter icon to adjust some results.
- Select Ignore personnel classification to remove the personnel classification filter.
If you remove the personnel classification filter, your results will return more workers, regardless of whether their classification in their profile matches the job role.
- Select Ignore expiry dates to remove the certificate expiration date filter.
If you remove the expiration dates filter, your results will include workers who have expiring certificates.
Filter by Tags: Filter by any of your personnel tags. Create personnel tags to identify people based on certain characteristics or criteria. Read more about using personnel tags.
Filter by Location: Filter by location–enter a country, state, city, or postcode. You can expand the location by selecting the Radius Search checkbox and selecting a distance.
Resource Pools: You can change the Resource Pool your matches are being pulled from. Above the list of workers you can see the Pool your results are being pulled from. Click the selection arrow, and choose a different pool (including All My Personnel) to change the results.
Profile Validation: You can enable Profile Validation to limit the matches to workers whose profiles have been validated by MyPass. Read more about Profile Validation.
View Engagement Experience by Role: Use this filter to find people with experience who are likely to have current inductions and VOCs. You can also determine the percentage of confirmed personnel for a role who have experience with an asset owner or asset.

Matches: The Next Step
As you work through the pipeline, you have the flexibility to move between different stages. From the Matches stage, you can invite workers to apply, or you can Shortlist them. Hover your mouse over the ellipsis in the worker’s row to view and select an option.
Invited
These are personnel to whom you have sent an email to view the job posting. From Matches (or another stage), you can select one or more personnel and select Invite to send them automated emails. When the personnel clicks on the 'Job Info' link in the email or from their Personnel passport account, then they can see the job details where they can choose to apply or decline the invite.
Note: Before a worker with a new MyPass profile can be invited to a role, they must have accepted the MyPass invitation.

Applied
This stage holds any worker who has applied for a role in MyPass.
Shortlisted
Workers who meet the role requirements can be shortlisted.
Followup
Use this stage for workers who require follow-up. For example, you may have requested additional information or be waiting on specific documentation. You can select Followup for workers from any stage of the pipeline.
Offered
Workers to whom you have made an offer, but they haven’t yet accepted it. These workers will receive an email offering them the role.
Confirmed
These are personnel who have accepted the offer for the role. If a worker accepts an offer, they are automatically moved into the Confirmed stage. (If they later change their mind and decline the offer, they stay in Confirmed but display an 'Offer Declined' tag below their name.)
In certain circumstances you may wish to manually move the personnel into the Confirmed bucket. You will need explicit worker permission to do this step manually.
Proposed
If your client has an internal approval process for personnel on their sites, you’ll use a Proposed stage. After you propose a worker, they are visible to the client for approval.
Note: You can only propose or confirm personnel with an existing profile who have accepted your invite.
Removed
Personnel who are removed from the recruitment pipeline, from any stage.
NOTE:
- Workers automatically receive an email when you invite them to apply or Offer them the role.
- A worker can track their status within the stages by checking their calendar from their own account.
- You can reject a personnel from the recruitment pipeline at any stage of the resourcing process.
If you don't have enough suitable candidates within your pipeline, you can request resources from your business partners.

There needs to be more focus on how to workflow personnel through the project workflow. Additionally, there also needs to be better clarity on role applications, where if a worker applies via external role posting, they have to be assigned into a resource pool before they can be confirmed
