Message Personnel

There are several options for using the Personnel Messaging functionality in MyPass. You can send messages to individual personnel or in bulk to multiple recipients.

Personnel messaging is not available for individuals with an ‘Awaiting personnel acceptance’ status or a triangle icon. This indicates that the personnel are new to MyPass and must accept the invitation for messaging to be enabled. 

Messaging is also unavailable for those with a lock icon. This indicates that they have an existing MyPass account but have not yet accepted the invitation to join your pool or have unaffiliated themselves from your portal.

Your personnel receive a copy of your message in their email and Skills Passport when Email is selected. They also receive the message in their Skills Passport and mobile when SMS is selected.

To send an individual message:

1. Open MyPass and click Personnel.

2. In the All My Personnel view or your selected pool, click the send icon next to the personnel’s name.

3. Select either Email or SMS to send a message.

4. Enter the message in the field provided.

5. Click Send.

6. Another way to send a message to personnel is by clicking their name to open their profile.

7. Click on Message located at the bottom of their profile.

8. Enter your message in the chatbox.

9. Click the clip icon to optionally attach a document.

10. Click the smiley icon to optionally add an emoji to the message.

11. Click the send icon or press the Enter key on your keyboard to send the message.

12. The message preview appears in the chatbox, and personnel can read your message in their Skills Passport and email.

13. Click the X in the top right corner to close the chatbox.


To send messages in bulk:

1. Click the checkboxes next to each personnel name you wish to message.

2. Click the Message button.

3. Select either Email or SMS to send a message.

4. Enter your message in the provided text field.

5. Click Send.

To access sent and received messages:

All the sent and received messages are accessible on the Messages page.

1. Click Messages.

2. Select a Resource Pool or click All My Personnel to view messages across different Resource Pools.

3. Click Unread to see only unread messages.

4. Click Received to see all unread and read messages.

5. Click Sent to see all the messages you have sent.

6. Click All to see all unread, received, and sent messages to and from the personnel.

7. Use the dropdown on the right side of the page to sort messages by oldest or newest first. 

8. Click the name of a personnel to open the message.

9. The chatbox contains the message history of the selected personnel. 

  • The white chat bubbles are the messages from the personnel.
  • The blue chat bubbles are the messages from the indicated portal administrator.

10. You can reply to messages directly from the chatbox.
