Multi-Certificate Upload

Managing certifications for a large workforce can create an administrative burden that delays worker onboarding.

The multi-certificate upload feature allows you to eliminate these bottlenecks. You can now drag-and-drop multiple files at once and configure them against the correct personnel and certificate codes in a streamlined workflow. This saves significant administrative time and enables the faster onboarding of your workforce. 

The multi-certificate upload feature includes:

  • Drag-and-drop to upload multiple files
  • Group related files (e.g. the front and back of a licence)
  • Configure personnel and certificate codes
  • Duplicate upload prevention
  • Persistent file list -  save and come back later
     

Upload multiple certificates from the Personnel Page

This method is ideal for a bulk upload of certificates when the files are for different personnel. It allows you to select the files and then easily configure them against the correct personnel names and certificate codes in a single streamlined workflow.

Navigate to the Personnel page and click Multi-certificate upload.

Drag and drop the files that you want to upload, or click Upload.

Note: The supported formats are jpeg, jpg, png, gif, pdf, doc, docx. You can upload files up to a maximum size of 4MB.

Once loaded, you can either select all or group related files (e.g., front and back of a licence). Click on your selected file or click the Group related files button if it’s in a group.

When you select multiple certificate codes for a document group, a warning appears. This explains that all selected certificate codes will be assigned to every file in the group. Only choose codes that apply to the selected files.

Search for the respective personnel and the certificate code to upload. Then, click Save & continue.

You can select one Personnel and add multiple certificates if needed.

Note: You can preview the document by clicking on it; however, it won’t display until antivirus scanning is complete.

If you’re trying to add a certificate that exists and is verified, a warning message appears indicating a potential duplicate upload. This will display the information that is relevant to the existing attainment.

You have the option to keep the existing attainment or use the new file. Click View existing certificate to check.

Once saved, the certificates are added to the personnel’s profile, pending verification, and are removed from the list.

After saving, you are moved to the next file in the list. You can go back to the file list at any time. Once all files have been configured, you will be returned to the upload screen.

You can drag and drop files to add more files anytime, and they will be added to the list.

You can also delete any irrelevant files by clicking on the Delete button.

 

Upload multiple certificates from the Personnel Profile

This method is ideal when all the documents you are uploading are for one specific personnel. Once the documents are loaded into the list, clicking on them will automatically populate the personnel's name.

Click on the personnel name to whom you want to upload the certificate. On the personnel’s profile, scroll down to the Certificates section and click on Add/Export. Select Multi-certificate Upload.

Drag and drop the files you want to upload, or click Upload.

Click on a certificate or 'Group related files' if you selected multiple documents. The personnel's name is automatically populated. 

When you select multiple certificate codes for a document group, a warning appears. This explains that all selected certificate codes will be assigned to every file in the group. Only choose codes that apply to the selected files.

Search for the relevant certificate code and click Save & continue.
