Conditional columns are a feature you can add to a role-tracking template, allowing you to apply specific settings to certain personnel rather than creating universal requirements for everyone in the role. These columns are ideal for IF/THEN scenarios, such as:
- If a worker is under 18, THEN they must upload a special permission document.
- If the worker is from another country, THEN they need to provide labor qualification documents.
In all conditional scenarios, the final action (THEN) is to upload a document.
If your organisation has enabled Project Verification, you can also require that the uploaded document be validated.
Note: While conditional columns are generally available, the Require Validation feature can only be used if Project Verifications have been enabled within your organisation.
Create a conditional column in a role-tracking template:
Go to Settings, then General, and select Role Tracking Templates. Open an existing RTT or create a new one.
In Manage Template, go to the Column section and click to add another column. |
Enter a name for the column and choose the relevant buckets or recruitment stages to display it. From the Value Type picklist, select Conditional. |

In the Conditional Type picklist, choose Document Upload. |
Configure the states to determine how the column responds to inputs:

In the Edit Permissions section, select the user groups that can make changes to the column. |

Enable Show in Role Details to display the column in the personnel's Skills Passport. Note that this option is only available for columns in the Offered, Proposed, or Confirmed buckets. It cannot be selected if any other buckets are chosen. Enable the Require before confirmation option if you want to ensure the column is updated before a worker can be confirmed. If you want to require document verification, select the Require Validation box. Note that this option will only appear if your company has enabled Project Verifications. Click Done. |
Example
Let’s say you want to require any foreign workers to upload a specific document proving that they have permission to work in your country.
- Name your column “Foreign worker?”
- Choose the buckets or recruitment stages where the column displays.
- From the Value Type picklist, choose Conditional.
- From the Conditional Type picklist, click Document Upload.

Complete the States box:
- Enter No as your default state.
- Enter Yes as your Trigger Condition.

If desired, check boxes for:
- Show in Role Details
- Require before Confirmation
- Require Validation (if available)
Click Done.
