Add a Conditional Column to a Role Tracking Template

Conditional columns are a type of column that you can add to a role tracking template. Conditional columns let you apply provisional settings to certain personnel, rather than creating a requirement for everyone in the role. 

Conditional columns can be used for a variety of IF/THEN scenarios such as:

  • IF a worker is under 18, THEN they need to upload a special permission document
  • IF the worker is from another country, THEN they must provide labour qualification documents.

The final action (THEN) of all conditional scenarios is to upload a document.  

If your organisation has enabled Project Verification, you also have the option to require that the uploaded document is validated.

Note: Conditional columns are generally available. To use the Require Validation feature, you first need to enable Project Verifications.

 

Create a conditional column in a role tracking template:

  1. Go to Settings > General > Role Tracking Templates.
  2. Open an existing RTT, or create a new one.
  3. Under Column, click Click to add another column.
  4. Add a name
  5. Choose the buckets or recruitment stages to display the column.
  6. From the Value Type picklist, choose Conditional.
  7. From the Conditional Type picklist, click Document Upload
  8. In Edit Permissions, select the user groups that can make changes to the column. 
  9. Configure States to reflect the way you want [the column] to respond to inputs: 
  • Default: this is the pre-populated or default state.
  • Trigger Condition: the “IF” condition that, when entered by a worker, will trigger the document to be uploaded.
  1. Select Show in Role Details to display in the personnel's MyPass passport.
    Note: This can only be displayed for columns in the Offered / Proposed / Confirmed buckets. You can’t select it if you selected  any of the other buckets.
  2. Select the Require before confirmation option if you want to force the column to be updated before a worker can be confirmed. 
  3. Require Validation: Select this box to require that the uploaded document must be verified.
    Note: You will only see the Require Validation option if your company has enabled Project Verifications.
  4. Click Done.

 

Example

Let’s say you want to require any foreign workers to upload a specific document proving that they have permission to work in your country.

  1. Name your column “Foreign worker?” 
  2. Choose the buckets or recruitment stages where the column displays.
  3. From the Value Type picklist, choose Conditional.
  4. From the Conditional Type picklist, click Document Upload
  5. Complete the States box:
    • Enter No as your default state.
    • Enter Yes as your Trigger Condition.
  6. If desired, check boxes for: 
    • Show in Role Details
    • Require before Confirmation
    • Require Validation (if available)
  7. Click Done.
