What is MyPass Verification?
This is a document validation service designed to check compliance documents provided by your personnel, or employers for the purpose of using the Service. We verify information either through Primary Source Verification, by contacting the third-party that issued the compliance document, or by using publicly available sources like compliance document lookup websites.
Once a document has been verified via MyPass it can be used across multiple assignments. The cost of the initial verification is covered by the initiating relying party.
How do we know it’s the first time an individual has uploaded the document?
MyPass creates a data set for each person which can be shared subject to permission. If the document has been uploaded previously it will have already been verified. As MyPass does not re-verify documents that have already been uploaded, Owner Clients get the benefit of pre-existing datasets.
How is the process differentiated between the Owner Client and the Service Provider and distinguish whether a document is being verified as part of an Owner Client's shutdown process, or if it’s simply being uploaded for general purposes?
Owner Clients use skills matrices to define compliance positions, which are then assigned to personnel. This allows for a comparison between the skills required for a position or project role and the documents uploaded by an individual. Owner Clients are only charged for verifying documents relevant to the skills required for a position.

What value is MyPass providing my business? And how?
A requirement of providing services to your Client is that your workforce is trained and competent in accordance with their Skills Matrices. MyPass has been designed to offer benefits to the entire supply chain of clients by:
- Through your MyPass portal, your client can share skills matrices with you, eliminating the need for interpretation or assumptions about training and competency requirements.
- With visibility into the competency levels of personnel assigned to positions, you can proactively ensure that your workforce is 'job ready,' minimising setbacks during mobilisation, site access, or audits. This approach reduces organisational risk exposure.
- MyPass helps reduce your administrative workload. You only need to monitor your dashboard for document expiry notifications and you can eliminate using spreadsheets for onboarding and job allocation.
- MyPass maximises the benefits of your subscription across various Owner Clients, Asset Owners, and Sites. It's worth noting that many Service Providers leverage MyPass independently to enhance their existing systems and processes.

I only work for one Owner Client. What’s the value for me?
MyPass is an industry-wide platform designed to add value across the entire supply chain. Unlike standalone compliance portals that vary between Owner Clients or Asset Owners and often require manual data entry and duplication, MyPass provides a unified solution. The need to demonstrate workforce compliance remains constant, regardless of the system used.
Our goal is to expand MyPass to include additional clients you may work with, reducing manual processes.
Subscription Terms
When are personnel considered active under our subscription?
Personnel are classified as active as soon as you invite them to your MyPass portal, as this grants you access to their passport. It's important to note that if they already have a passport established, you'll need to wait for them to accept the invite.
How is billing handled?
You will be billed in advance. When you subscribe, simply choose the subscription tier you need based on the pricing table. You have the option to subscribe on a monthly, quarterly, or annual basis, with discounts offered for longer commitments.
How is my subscription calculated?
MyPass subscription tiers are based on the number of unique workers in your Resource Pools. This means you'll only pay for a worker once, even if they are providing services to multiple sites or assets and assigned to multiple Resource Pools within your portal.
What if a worker is registered and active with multiple vendors? Will all vendors be charged for this worker?
When you invite a worker, they are automatically entered into a Resource Pool. All workers in your Resource Pools are included in your subscription fee, even if they are also providing services to other vendors, as you are benefiting from access to their Skills Passport.
What are the period and payment terms for the subscription cost?
During onboarding, you will be required to complete the MyPass onboarding form. You will be asked to assign a billing contact to receive billing and renewal notifications. Your MyPass subscription is paid in advance via an automated billing system. A credit card is the required payment method. Enterprise customers or vendors that require an invoice will adhere to 30-day payment terms as standard. MyPass is completely free for workers.
Are there any additional hidden fees?
There are no hidden fees for Vendors. All MyPass functionality is available as part of your subscription. Billing will only increase if you invite more workers to your MyPass portal and this causes you to exceed your current subscription tier.
What happens if I have a large workforce that only uses the platform infrequently? How is this charged? Can I deactivate workers?
You can select your preferred payment frequency from monthly, quarterly or annually. Paying quarterly or annually attracts a discounted rate, however, you are encouraged to calculate the most appropriate subscription model based on anticipated clients, workers and engagements.
If your number of workers contracted to your client fluctuates, we recommend that you select themonthly billing option. You can manage your Resource Pools by moving workers in and out to control subscription fees. This allows you to deactivate workers as needed to ensure you are only billed for active personnel.
Will I be reimbursed if my number of active workers does not reach the subscription number I have paid for?
Reimbursement is not available but you have the opportunity to change your subscription tier at the end of your subscription period.
