Here are some frequently used terms and what they mean at MyPass.
Term | Definition |
Active worker | An active worker is a worker who has been assigned to a resource pool. A worker is considered ‘active’ as soon as they have been invited by their employer. |
Affiliate | An organisation that is connected to another organisation within MyPass to share information. |
Asset | Typically a site or location where work takes place. A project in MyPass is attached to an asset. |
Business Partners (BPs) | Our customer companies who use the MyPass Industry Portal. The term Business Partner can apply to Asset Owners as well as Service Providers. |
Certificate | An official document attesting that a worker is trained or competent for a specific skill or task. See also: Certification. |
Certification | Proof that a worker is trained or competent for a specific skill or task. Sometimes referred to as a certificate or a requirement. |
Classification | The job title specified in a worker's Skills Passport. Classifications are used to match workers to a company's resource requirements. |
Compliance Position | Requirements for a specific role can be assigned to a worker as a compliance position. Compliance Positions are shown as a percentage that indicates how well a worker meets the requirements outlined in the skills matrix. |
Connected employer | A connected employer has permission to view a worker's data in their Industry Portal. |
Custom validity period | An organisation can set a custom validity period to shorten the standard validity period of a certification. |
Employer | An organisation that employs workers; usually this is a Service Provider on behalf of an Asset Owner client. |
Help widget | The Help widget appears in the bottom left corner of the Industry Portal. It links to both the Knowledge Base and Live Chat support, so users can choose to search the help guides or talk with a real person in our support team. |
High Risk Work Licence (HRWL) | A licence required to operate work in a high risk environment using some types of machinery, erect scaffolding or undertake dogging or rigging work. MyPass is the technology partner for the Verisafe Verification of Competency framework for HRWLs. Learn more at Safe Work Australia and Verisafe. |
Induction | Induction typically refers to the process of introducing a new worker to projects, colleagues, and job responsibilities. It might include online training, conditions of employment, information about the organisation, and HR policies. |
Industry Portal | From the MyPass Industry Portal, organisations can view real-time data and collaborate with their partners to source and mobilise workers and manage workforce compliance. |
Library (internal certificate library) | Organisations can create their own libraries to hold internal certifications and share certification and induction information with their business partners. |
Library (MyPass Library) | MyPass libraries hold most available industry-accredited certifications. Each country has a MyPass Master Library with the relevant industry certifications, for example Australia Master Library. This library holds the certificates that are verified by our certificate verification service. |
Owner Client | Owner Clients own or initiate a project, and hire Service Providers to procure workers to staff the project. |
Personnel | An individual worker, including volunteer workers. |
Position | The position the worker will be expected to complete. See Compliance Position. |
Profile Validation |
Profile validation requires workers to have a validated profile when applying for or being added to a role. A validated profile is verified by MyPass against an approved identity document, such as a national passport or driver licence. MyPass customers who use validated profiles are assured that their personnel data is accurate and clean. A validated profile displays a green tick. Profile Validation is enabled for organisations upon request. |
Project | A job, site, or resource that requires personnel to be recruited or mobilised. Projects, used in conjunction with roles, are a way to manage recruitment and mobilisation workflows. |
Proposed personnel | A worker in the Proposed stage of a resource request. The proposed stage holds the workers the Service Provider has proposed for a role in a resource request, so the Asset Owner can review and confirm them. |

Resource Pool |
A grouping of workers within MyPass. Use Resource Pools to create groupings based on employment status (contractors vs FTE), location, skills, or experience with a certain client. When you share a Resource Pool with a business partner, they can see any workers in the pool. A Skills Matrix can be assigned to a Resource Pool to let you review the compliance percentages of the workers in that pool. When added to a resource pool, a worker is considered active. |
Resource Request | A resource request specifies the roles (and their requirements) needed for a project. A client sends a resource request to a supplier to staff a project. |
Role | A job role within a project. The skill and compliance requirements for a role are outlined in the skills matrix. |
Role Tracking Template (RTT) |
The Role Tracking Template (RTT) shows the stages of your recruitment pipeline for a role in a project. The RTT is a visualisation of the progress towards a fully staffed project. Individual workers progress through the stages of the recruitment funnel to be confirmed for a role. |
Service Provider |
Organisations that provide services to Asset Owners or other entities. Service Providers engage and manage the contractor workforce to supply labour to Asset Owners on a project basis. Also known as a Supplier, Vendor or Contractor. |
Skills Matrix |
A list of the skills and compliance requirements for all the roles on a project. A Skills Matrix can be used in the recruitment process to find eligible workers, and as a compliance tool to identify the requirements a worker must have to be qualified to be proposed or mobilised to a role. Share a Skills Matrix with an affiliate to send role requirements, make or receive resource requests, and manage worker compliance against a position or role. |
Skills Passport |
The MyPass Skills Passport is a digital tool that lets workers store, manage, verify and share their credentials with organisations. From the Skills Passport, workers can maintain their personal information, apply for and accept roles, access training, and communicate directly with employers. When a worker connects to an organisation, their Skills Passport data is connected with that industry portal. Workers can apply for or accept jobs, and employers can recruit workers and view their compliance status. |
Superseded Qualification | A qualification that has been replaced by an updated or revised version. |
Supplier | See Service Provider. |
Verification | Certificates and other compliance documents are verified after MyPass specialists review their validity and authenticity. |
Verification of Competency (VOC) | An assessment used to demonstrate the worker's ability to operate equipment and/or undertake the responsibilities of a certain job role. VOC requirements are specific to a site or Asset Owner. |
Verisafe | Verisafe is a Verification of Competency (VoC) Framework for High Risk Work Licence (HRWL) holders in the resources sector. |

Worker Passport | See Skills Passport. |
Worker Pool | See Resource Pool. |
